Overview
The team at Bismarck Animal Clinic & Hospital is growing and we are looking for a Customer Service Representative/Receptionist to join us. We are seeking a dedicated and compassionate individual with excellent customer service skills, a positive attitude, and strong organizational abilities.

Responsibilities

Answer incoming calls professionally, route calls to the proper staff, take detailed messages, and answer inquiries about our services with knowledge and courtesy.

Follow clinic policies and procedures when scheduling clients with ill or surgical patients and immunization/well visits; determine whether immunizations and heartworm tests are current and recommend updates as needed. Prepare required forms in advance (clinical records, health and immunization certificates, surgical release forms, euthanasia forms).

Greet and admit medical and surgical patients; ensure all appropriate forms (consent and update forms) are signed.

Ensure clients meet all financial obligations (payment at time of service) according to clinic policies; collect and process payments accurately including change, credit cards, and balancing the cash drawer at shift end.

Sell and provide information on over-the-counter animal grooming aids, food, and other items; demonstrate knowledge and salesmanship by explaining products, answering questions, recording sales accurately, and assisting clients with purchases.

Enter, retrieve, and modify data in the Avimark computer system efficiently and accurately.

Maintain cleanliness and organization of the reception area, waiting room, exam rooms, parking lot, and sidewalks according to the housekeeping procedures manual.

Perform additional duties as required by management to support the effective operation of the clinic.

Qualifications

Thorough familiarity with clinic procedures for making appointments, assembling medical records, recording test results, relaying information as instructed by a doctor or technician, and compiling and submitting data on treated patients.

Working knowledge of the spelling and meaning of common veterinary terms used in the practice.

Excellent interpersonal skills with tact and diplomacy; ability to accurately relay a pet owner’s account of the animal’s medical problem to clinic staff.
