Job Purpose
The Customer Care Coordinator provides outstanding customer service to ensure efficiency and a positive experience. Responsibilities include accurate and prompt order processing to meet customer needs.

Key Responsibilities

Answer incoming calls, handle faxes, and manage inquiries.

Process new orders efficiently.

Schedule evaluations and equipment adjustments with referrals and clients.

Upload order files for ATP evaluations and follow-up.

Review and request necessary order documents such as FME, LMN, and chart notes.

Update the team on order processing status.

Track equipment to ensure timely receipt before delivery.

Coordinate delivery with clients once equipment is approved.

Communicate with clients regarding coverage, deductibles, and financial responsibilities.

Research related equipment on vendor websites.

Process payments for out-of-pocket costs.

Reconcile deliveries and move orders to billing.

Follow up with clients for medical documents as needed.

Provide monthly delivery forecasts.

Handle mailing tasks such as no-contact letters and delivery paperwork copies.

Maintain contact information for doctors, therapists, and related parties.

Perform other duties as assigned.

Required Skills and Qualifications

High School diploma/GED required; Associate's degree preferred.

At least three years of experience in a fast-paced office environment preferred.

Customer-focused attitude.

Proficiency in Microsoft Office.

Ability to manage multiple priorities in a fast-paced setting.

Quick decision-making skills.

Experience with efficiency-optimizing technology.

Strong communication, organization, and prioritization skills.

Physical Requirements

Ability to perform essential functions with reasonable accommodations.

Prolonged desk and computer work.

Overtime as needed.
