Description
The Client Care Coordinator reports to the Director of Clinical Operations. The primary objective of this position is to provide excellent customer service to all who visit our office. This position will include performing other tasks, such as answering phone calls, data entry, etc. The ideal applicant should be a friendly, outgoing, detail-oriented, team player; a self-starter can multi‑task, focus and meet deadlines in a fast‑paced environment. In this role, you will be part of a team that focuses on client care, customer service, and a well‑organized, high‑functioning standard of organization at the Front Desk.

The Client Care Coordinator supports the Prisma Community Care mission of providing affirming and inclusive services to promote well‑being and advance health equity for diverse communities and all those seeking compassionate care—including people of color, 2SLGBTQIA+ and Queer individuals, and those affected by HIV.

What your day will look like at Prisma Community Care

Check in all clients and visitors for appointments and meetings.

Answer incoming calls.

Schedule appointments as needed.

Enter data of new and updated paperwork packets completed by clients.

Verify insurance for patient appointments.

Confirm appointments for providers.

Scan documents into the EMR system.

Requirements

High School diploma or GED.

2–3 years of experience in front office/customer service.

Ability to establish rapport and maintain effective communication with culturally diverse populations.

Work effectively in a mission‑driven organization whose clients and staff exhibit significant diversity.

Preferred Qualifications

Experience working in the medical/behavioral health field and/or with individuals with HIV/AIDS.

Experience using eClinicalWorks EMR.

Bilingual in Spanish and English.

Environmental Factors, Physical Requirements, and Compliance

Work primarily in a climate‑controlled environment with minimal safety/health hazard potential.

Office environment, exposure to computer screens for lengthy periods of time.

Extensive use of computers and a standard keyboard.

May require evening and occasional weekend work.

Regular walking, sitting, standing; use of hands, talking, hearing; occasional reaching with hands and arms.

Requires close vision, distance vision, and ability to adjust focus.

May occasionally climb, balance, stoop, kneel, crouch, bend, or crawl.

Valid Fingerprint Clearance Card within 90 days of employment.

Clear TB test within 7 days of employment.

Flu vaccination within 7 days of employment.

Hepatitis‑B primary vaccination series within 7 days of employment.

CPR certification within 14 days of employment.
