Overview
We are seeking a Care Coordinator to manage and support injured clients through their medical treatment process. This position ensures timely scheduling, accurate documentation, and efficient communication between clients, providers, and internal teams. The ideal candidate is highly organized, process-driven, and comfortable managing a high volume of cases in a structured environment.
Key Responsibilities
- Complete same-day client intakes and collect required information
- Provide clients with medical provider options and schedule appointments promptly
- Maintain accurate documentation and upload all forms into internal systems
- Follow each client call with a confirming text message to ensure clear communication
- Review all active cases every 14 days to track treatment status and next steps
- Keep the Scheduling inbox organized and manage all task folders within required timelines
- Confirm appointments and obtain updates from medical facilities
- Coordinate support services such as transportation, interpretation, and pharmacy requests
- Track treatment status, recommendations, pending orders, and outstanding requests
- Run weekly reports to verify completed documentation and follow up on missing forms
- Update case notes, appointment details, and treatment progress in real time
- Participate in weekly case-aging reviews with Underwriters and Admin team members
- Notify Underwriters of delays or issues that impact treatment progression
- Maintain timely, professional communication with clients, providers, and internal staff
Job Requirements
- Ability to manage multiple cases simultaneously with strong organizational skills
- Consistent adherence to structured workflows and time-sensitive tasks
- Ability to exercise good judgment when handling escalations or complex situations
- Accurate and consistent note-taking within internal systems
- Strong follow-through to ensure appointments, forms, and requests are completed on time
- Ability to learn new platforms and workflows quickly
- High attention to detail for documentation review and data entry
- Reliable in-office attendance in Atlanta, GA
- Ability to maintain confidentiality and comply with HIPAA standards
Minimum Qualifications
- High school diploma or equivalent
- At least 2 years of customer service experience (required)
- Proficiency in English (reading, writing, and speaking)
- Strong verbal and written communication skills
- Ability to multitask, process information quickly, and make informed decisions
- Proficient computer skills, including MS Office, email communication, and willingness to learn new systems
