We are looking for a Surrogate Case Manager who will serve as the primary liaison between our surrogates, intended parents, clinics, and partner networks. This person will guide each surrogate from match to delivery, ensuring that her medical, emotional, and financial needs are met with empathy, precision, and care.

You will work closely with our in-house coordination, legal, and finance teams to oversee insurance verification, benefit reviews, and disbursements, while also nurturing strong, trusting relationships with each surrogate under your care.

Key Responsibilities

  • Serve as the primary point of contact for surrogates from onboarding through postpartum.

  • Coordinate with IVF clinics, mental-health professionals, and insurance providers to ensure seamless case progress.

  • Manage all insurance verification, policy reviews, and claims support in collaboration with our internal insurance partner team.

  • Guide surrogates through medical protocols, travel arrangements, and milestone updates, ensuring they feel informed and supported.

  • Track and manage financial disbursements in coordination with our TrustUS escrow platform to guarantee accurate, on-time payments.

  • Maintain timely, empathetic communication and case notes in Zoho CRM and internal case-tracking systems.

  • Support emotional wellbeing by anticipating needs, resolving issues proactively, and celebrating key milestones throughout the journey.

  • Collaborate cross-functionally with operations, marketing, and tech to refine surrogate experience programs and improve efficiency.

Qualifications

  • Bachelor’s degree in psychology, social work, nursing, or a related field (Master’s preferred).

  • Minimum 2 years’ experience in case management, fertility coordination, social work, or patient services.

  • Deep empathy and understanding of reproductive health, surrogacy, or family-building processes.

  • Excellent organizational, communication, and crisis-management skills.

  • Comfort working with digital tools and CRM systems (Zoho CRM, Google Workspace, or equivalent).

  • Strong ability to multitask, prioritize, and maintain emotional composure in a fast-paced environment.
