We are seeking a highly organized, compassionate, and detail-oriented Part-Time Patient Coordinator / Patient Services Representative to join our team. The primary purpose of this role is to establish and maintain excellent communication with the patient, Front Office Manager, and other healthcare providers to ensure a seamless experience that supports optimum patient outcomes. This role is critical to maintaining an efficient and welcoming front office environment.

 

Schedule & Compensation

 

  • Hours: 20 to 24 hours per week.

  • Flexibility: The work schedule offers flexibility, which will be determined in coordination with the Front Office Manager to meet the needs of the practice.

 

Key Responsibilities

 

  • Patient Communication & Service: Serve as the primary point of contact for patients, handling all incoming calls, messages, and inquiries with professionalism and empathy.

  • Scheduling: Accurately schedule, reschedule, and confirm patient appointments, manage the provider's calendar, and maintain flow efficiency.

  • Registration & Intake: Greet patients warmly, ensure all necessary intake forms are completed accurately, and verify patient demographics and insurance information upon arrival.

  • Coordination of Care: Facilitate communication between the patient and clinical staff (nurses, therapists, physicians) regarding appointment needs, test results, and follow-up care.

  • Administrative Support: Manage electronic and physical patient records, maintain an organized reception area, and handle basic office tasks.

 

Required Qualifications

 

  • Minimum of 1 year of experience in a medical/healthcare office setting preferred.

  • Exceptional verbal and written communication skills.

  • Proficiency in using Electronic Health Record (EHR) systems and standard office software (e.g., Microsoft Office).

  • Demonstrated ability to maintain patient confidentiality (HIPAA compliance).

  • High level of emotional intelligence and the ability to work effectively with diverse patient populations.
