Summary of Position
Work Location: 161 AVENIDA VAQUERO | SAN CLEMENTE, CA 92672

The Patient Care Coordinator serves as the first point of contact for patients and visitors, ensuring a welcoming and professional environment. This role is responsible for managing front desk operations, scheduling appointments, verifying insurance, collecting payments, and supporting clinical staff with administrative tasks. The ideal candidate will demonstrate excellent communication skills, attention to detail, and a commitment to patient care and confidentiality.

What You’ll Do
Courteously check patients in and out according to our Customer Service standards.
Verify insurance and collect appropriate dues.
Balance and reconcile money collected during your work shift.
Schedule appointments; maintain and update the schedule as needed.
Confirm appointments for providers, aestheticians, and RNs.
Create and maintain patient charts, ensuring up-to-date information at all times.
Prepare superbills accurately and in a timely manner.
Follow all HIPAA regulations, keeping patient personal and financial information confidential.
Anticipate and respond positively to changing conditions.
Stay focused on tasks under pressure.
Listen and communicate effectively and kindly while addressing patient complaints.
Keep the front office neat and orderly to maintain high standards.
Maintain inventory and place weekly orders as needed.
Assist with other duties as assigned to support overall location function.
Verify insurance details (deductible, copay, plan type) and maintain accurate payer information.
Understand differences between HMO, PPO, Blue Cross, Blue Shield, and Medi-Cal HMO policies.
Identify payer contract status (Tax ID/NPI) and perform necessary authorizations.
Ensure all patient demographics are captured to avoid claim rejections.
Post copays into EMA and verify Medicare vs. Medicare Advantage plans.
Distinguish primary vs. secondary insurance coverage.

Ability to multitask and stay organized under pressure.
Knowledge of insurance types and billing procedures.
Proficiency in Microsoft Office and EMA software.
Effective verbal and written communication skills.
Maintain confidentiality and professionalism.

Education & Experience
High school diploma or equivalent required.
1–2 years of experience in a medical office or customer service role preferred.
Familiarity with HIPAA regulations and healthcare operations.
Additional training or certification in medical office administration is preferred.
