Overview The Door - A Center of Alternatives is seeking a Data and Informatics Specialist/Administrative Coordinator to support the Career and Education Services department. This role will coordinate administrative support, track participants’ progress, and assist with data collection and engagement to support young people’s academic, professional and personal growth.
Responsibilities Coordinate intake, orientation, assessment and enrollment of participants into program services
Provide outreach and follow-up services to program participants who have successfully completed training for at least one year after program completion
Track participants’ progress toward goals and key outcomes; collect verification documents and enter data in required databases and spreadsheets
Submit milestone verifications to funders and track the approval process
Assist with quality assurance maintenance of data systems, filing, and administration of contracts
Process requests for payment and manage purchasing, ordering, and invoicing activities for the program
Maintain training calendars, activity schedules and marketing materials; disseminate information about programs and services to staff, young people and other interested parties
Provide consistent administrative coverage for the Career and Education Services department at all scheduled times
Enter, update and maintain participant demographic, academic, workforce development, and support services data in department and funder databases
Conduct regular audits of data reporting systems to ensure staff data entry and progress notes are up to date and data is consistent across reporting systems
Work with the Career and Education Management team to develop, implement and maintain data integrity standards
Collaborate with Career and Education staff to ensure accurate data collection and establish expectations for data usage to review quality and effectiveness
Prepare and distribute monthly reports of service delivery and performance outcomes
Prepare data reports for external reporting for grants and other purposes
Follow up on audit files for program compliance, data entry for Salesforce updates, and incentives and stipend processing for all participants as needed for program funding streams
Conduct outreach to participants to update contact information and program data as needed
Attend relevant staff meetings and participate as a member of an interdisciplinary team to increase services for youth populations
Perform other responsibilities as assigned by supervisor or senior management
Qualifications and Requirements Bachelor’s degree preferred
Minimum of 2 years in administrative or executive assistant position required
Understanding and practice of positive youth development principles
Knowledge of and ability to apply PYD principles when working with young people
Excellent organizational ability with a flexible approach to work
Strong verbal and written communication skills
Strong interpersonal skills across a range of audiences
Ability to work independently, demonstrate sound judgment, multitask and take initiative
Strong proficiency in MS Office (Word, Excel, Access, Outlook)
Minimum of 2 years in a data-related position
Experience with data management software such as Salesforce strongly preferred
Proficiency in Spanish, French or Mandarin strongly preferred
Hours Monday through Friday, 35 hours per week, occasional evening hours as needed.
Salary $52,000 - $55,000 Annually
