Client Case Manager – Financial Planning Firm
Location: San Jose, CA

Pay Range: $80,000 – $120,000 per year

Minimum Requirements

3+ years of administrative office experience in a fast‑paced environment

Financial services industry experience required

Understanding of insurance and annuity products

Proficient in MS Office Suite, especially Excel

Desire to obtain long‑term employment

CRM experience (HubSpot preferred)

Insurance company suitability experience preferred

Experience with back‑office case management in financial services preferred

Experience managing RIA side with custodians (Schwab, Fidelity, Vanguard, etc.) preferred

Responsibilities

Thoroughly review and complete new business applications and in‑force paperwork for accuracy

Track pending business and keep agents and office informed of status

Resolve issues with incomplete or incorrect submissions

Follow up on annuity 1035 exchanges and transfers

Collaborate with insurance carriers and IM office to ensure efficient, accurate, timely processing

Update office on carrier processing changes

Maintain accurate information in the CRM (client info, application progress, correspondence)

Work with other departments to reach firm goals

Keep current knowledge of carrier products and changes

Build strong relationships with customers

Maintain application cycle times at or below industry averages

Salary & Bonus
