Reports To: Branch Manager

Pay: $23-$26 an hour

$2,000.00 sign on bonus to a candidate with current CRT experience greater than 4 years. (1/4 payout upon starting, then every quarter thereafter until 1 year anniversary.)

We are expanding our Denver team and seeking a Level 2 Action Care Coordinator (ACC) to support our ATP and funding operations.

Position Summary

The ACC Level 2 serves as an experienced and highly organized liaison between clients, clinicians, funding sources, and our ATP team. This role ensures complete, accurate, and timely processing of client documentation, prior authorizations, and order tracking within the Complex Rehab Technology workflow.

An ACC 2 works with minimal supervision, managing multiple cases simultaneously while providing exceptional communication and service to all stakeholders.

Requirements:

Key Responsibilities

  • Own documentation workflow from evaluation to authorization submission for assigned ATPs and clients.
  • Review and validate clinical documentation (physician notes, LMNs, PT/OT evals) to ensure funding compliance for Medicare, Medicaid, and commercial payers.
  • Submit and track insurance authorizations; communicate approval status and next steps to clients and internal teams.
  • Maintain accurate records in the EMR (Atlas or equivalent) and update tracking spreadsheets for timely reporting.
  • Identify and escalate potential delays, errors, or documentation gaps to ensure on-time delivery and funding success.
  • Communicate professionally with therapists, clients, physician offices, and funding representatives.
  • Collaborate closely with Branch Manager and ATP team to ensure clients receive exceptional service.
  • Mentor new ACC staff on documentation and workflow best practices.
  • Participate in branch and companywide training programs and quality initiatives.

Qualifications

  • Experience: Minimum 1 year in Complex Rehab Technology, DME, or insurance authorization environment.
  • Education: High School diploma or GED required; associate degree preferred.
  • Technical Skills: Proficiency with Microsoft Office and EMR systems (Atlas experience a plus).
  • Knowledge: Understanding of Medicare, Medicaid, and commercial payer documentation requirements.
  • Communication: Strong written and verbal skills with a customer-service focus.
  • Attributes: Organized, accountable, proactive, and able to multi-task under pressure.
  • Work Ethic: Self-motivated and committed to accuracy, confidentiality, and team collaboration.
